Chemonics Opportunities 2018 New Job Positions Available

Chemonics International seeks two (2) Grants Assistants, a Monitoring, Evaluation and Learning Associate, and an Administrative Assistant for the USAID-funded Resilient Waters Program (RWP).  This five-year program aims to build more resilient and water secure Southern African communities and ecosystems through improved management of transboundary natural resources and increased access to safe drinking water and sanitation services. We are looking for individuals who have a passion for making a difference in the lives of people around the world. The positions will be based in Pretoria, South Africa. Fluency in English is required for all listed positions.

Job Title: Grants Assistants [2 Positions]
Job Location: Pretoria

The Grants Assistants will provide support to the Grants and Subcontracts Manager.

Responsibilities:

  • Recording and reviewing grant and subcontract applications received by the RWP
  • Recording the proceedings of evaluation/ selection committee meetings
  • Responding to enquiries from potential Grantees and Subcontractors
  • Organizing and maintaining electronic and paper files of grant and subcontract documents and resources
  • Developing and maintaining the grantee and subcontract databases
  • Assisting with data entry in the grants and subcontract management system as well as monitoring and evaluation databases
  • Assisting in producing grants and subcontract reports as may be required by project team, senior management and/ or the client (USAID)
  • Following up with grantees to ensure they are meeting deliverable deadlines and reporting requirements, including M&E reporting
  • Performing administrative tasks related to compliance, generating grant and subcontract documents, and mailing grant agreements and subcontracts, and grant and subcontract checks
  • Assisting with in-kind procurements for the grantees
  • Working to enhance and improve grants and subcontract management processes and increase efficiencies

Skills and Qualifications:

  • Minimum of one-year related work experience
  • Strong interest in providing high quality administrative support to a professional tea, three years of experience preferred
  • Bachelor’s degree preferred
  • Computer Literacy: Microsoft Office
  • Experienced and comfortable working with numbers and in databases
  • Impeccable attention to detail

Job Title: Monitoring, Evaluation and Learning (MEL) Associate
Job Location: Pretoria

The MEL Associate will provide support to the MEL Specialist.

Responsibilities:

  • Provide technical support and assistance to other implementing partners in the design and development of results chains, outputs, outcomes of each approved project towards effective project monitoring and measurement
  • Support the design and undertaking of baseline assessments at the start of each new project, midpoint reviews as necessary, and end line at the end of the projects as required
  • Support and conduct training as necessary for the partner staff in the areas of MEL in line with the RWP MEL plan, specific tools and system (e.g. indicators, performance indicator reference sheets (PIRS, and relevant data collection and collation tools and systems)
  • Promote an appreciation of using results-based monitoring and measurement to track the progress and results of Resilient Waters Program
  • Develop and maintain relationships, build capacity and support partners in the MEL tasks including data collection and collation, and integration of data use for decision making
  • Coordinate across cross-cutting units to ensure that MEL is well integrated at all levels of the Resilient Waters program team
  • Support the MEL Specialist in the analysis and reporting of data both for ongoing purposes as well as required reporting requirements.
  • Recording and reviewing performance data collected and reported by the technical team, subcontract partners, grantees, and program institutional partners
  • Review and assess the appropriateness of data collection methods to collect, compile and report on data; and ensuring quality of data for preliminary analysis
  • Develop, organize and maintain MEL database and resources
  • Assist with data entry in the grants and subcontract management system as well as monitoring and evaluation databases
  • Facilitating the preparation of all project reports

Skills and Qualifications:

  • Minimum of first degree with no less than 3 years working experience in and monitoring and evaluation
  • Relevant experience and knowledge to collect reliable, valid and accurate information in an objective way
  • Understanding of questionnaire design and ability to develop questionnaires and other instruments
  • Experience working with quantitative (for example, Stata, R or SPSS) and qualitative data analysis software (for example, ATLAS.ti, or dedoose) preferred
  • Experienced and comfortable working with numbers and in databases with impeccable attention to detail
  • Considerable experience in coaching, advising, mentoring and facilitating capacity building on M&E
  • Excellent interpersonal skills and demonstrated capacity to work independently and in a collaborative environment
  • Excellent time management skills, aptitude for proper task prioritization, and a results-oriented work process
  • Professional demeanor, integrity, tact, and good judgment
  • Knowledge of USAID Rules and Regulations is an added advantage

Job Title: Administrative Assistant
Job Location: Pretoria

The Administrative Assistant will provide operational and administrative support to the operations, human resources, and procurement teams.

Responsibilities:

  • Attending to the Resilient Waters reception area and main telephone line
  • Providing administrative support to the Operations and Finance team
  • Maintaining the filing system – both electronic and physical files
  • Managing staff refreshment facilities including the maintaining of stocks and the availability of coffee/tea/biscuits/sugar/milk etc. in liaison with the Office Manager
  • Maintaining stationary stock for the office and ensure that supplies are ordered timeously
  • Maintain the office equipment inventory, and ensure the equipment is correctly labelled
  • Support the Logistics Officer in booking flights, accommodation and car hire/taxi service as required by travelling staff
  • Support the procurement processes by obtaining quotes, drafting selection documents and creating purchase orders
  • Coordinating posting of job advertisements and recruitment interviews as needed
  • Other administrative tasks as required
