Events Coordinator

REPORTS TO:

Events Manager (Western Cape, Southern Cape)

DEPARTMENT:

Sales (Western Cape, Southern Cape)

LOCATION:

Western Cape

HOURS OF WORK:

8:00am to 5:00pm and overtime when required

DIRECT REPORTS:

None

LIAISES WITH:

Marketing, Sales, Finance, Warehouses, Vendors

MAIN PURPOSE OF THE ROLE:

Facilitates PRSA promotional events in Western Cape and Southern Cape regions.

JOB SCOPE AND CONTEXT:

Service Level

Office based, with travel to PRSA events

Events & Promotions

  1. Regional events and promotions raise the profile of key brands
  2. Plan regional events
  • Budgets agreed and adhered to
  • Venue sourced that meets requirements of event
  • Invitations forwarded according to target list
  • RSVP’s received and recorded
  • Caterers, audio-visual and security vendors sourced and costs agreed
  • Parking and other facilities issues are planned
  • Objectives of each event are agreed with Events Manager
  1. Oversee the execution of regional events
  • Guests are greeted and attendance recorded
  • Events are well professionally coordinated
  • Source sufficient staff
  • Staff are in line with brand image and target market
  • Staff inductions ensures they have sufficient product knowledge
  • Pre-promotion branding and merchandising present at events
  • Delivery hampers present at events
  • POS items are prepared
  • Photos for promotion or displays available
  1. Conduct post-event analysis with Events Manager
  • Stakeholders are consulted on success of each event
  • Feedback forms and photos compiled
  • Outcomes of event are measured against objectives
  • Improvements are made in the planning and execution of events

Stakeholder Relations

  1. Productive relationships with internal and external stakeholders maintained
  2. Coordinate with Sales, Warehouse, Production and Finance
  • Internal stakeholders aware of promotional and event activities
  • Stock is available
  • Finance receiving invoices when required
  1. Collaborate with external agencies
  • Vendors for events are properly briefed and competently carry out function within budget constraints

JOB REQUIREMENTS:

Minimum Educational Requirements and Work Experience:

2 years event & marketing experience

Other Requirements:

Be able to lift heavy boxes and equipment

Set up on Branding equipment at various venues

Movement of stock to and from locations

Functional and Technical Competencies:
