Job description

Job purpose

To assist the production department in briefing of suppliers, compilation of quotes, purchase orders to suppliers, quality control and delivery of final item, through to final invoicing and job closures, in adherence to budget and deadlines.

Duties and responsibilities

  • Prepare costing sheets with three to four supplier costs and ensure approval by client services
  • Compile cost sheets for internal time by pulling internal time sheets
  • Compile cost estimates as per Lepetta’s processes and send to client services within agreed timelines:
    • 48 hours from initial brief for internal and print jobs
    • Three days from initial brief for campaigns with more than five print elements
    • Five days from initial brief for branded items
  • Issue purchase orders (PO) according to supplied quotes and send artwork, specs and PO with delivery deadlines
  • Issue purchase orders to all external suppliers, i.e. medical copywriters
  • Update print boards regularly ensuring correct information is captured
  • Follow-up and ensure print-proof is received timeously, checked and circulated internally for approval within a day
  • Check supplier invoices received are correct, matched appropriately and pass on to production head to sign
  • Check quality of all samples received and pass on to logistic manager for filing
  • If there is a problem on a job, take immediate action and discuss with production manager
  • Oversee delivery and distribution priorities in accordance with project/job timelines
  • Notify logistics manager on all jobs in production with delivery deadlines
  • Send distribution/packing lists to suppliers (informing logistics manager) and obtain information from suppliers regarding packing i.e. number, size and weight of boxes
  • Check packing is done according to allocation lists ensuring 100% quality control is done on all packed items:
    • Labels – spelling, contact details, address of recipient, contents, quantities and job numbers are captured correctly
    • Waybills – number of boxes, contents, quantities, job numbers and recipient details are captured correctly
  • Ensure copies of ‘proof of delivery’ are sent or delivered to the agency and filed
  • Once billing instruction has been received, to invoice the job
  • Once job is in print, pull a recon on the job and get production manager to check, then give to client services to sign-off for closure
  • Assist with sourcing of branded items
  • Assist in purchasing items needed on client briefs/requests – will entail driving to various stores

  • Need to have a valid drivers licence and own transport

 

Advantageous

  • Creative agency experience preferable
  • Experience on Chase (advertising system) will be advantageous
  • Ability to work well within team environment and direct reporting to production manager and adhere to rules and systems that have been implemented
